Venue Hire Terms

The following are the sample terms you will be asked to agree to as part of the booking process, your copy may include further updates and any specifics we have agreed with you:

Thank you for holding your event at Reading Rowing Club.  We are pleased to welcome you to our home.  The terms of your booking we have agreed are:

18:45 Arrival for setup no earlier than - note the club is in active use during the day so early access is not normally possible.
19:30 First guests arrive and Bar Opens
23:30 Bar Last Orders

23:45 Bar closes/shutters down
23:59 Club house is closed/locked

  1. You will respect the above times for entry and exit – remembering the club is staffed by volunteers who have their own personal commitments.

  2. You will leave the club in the condition in which you enter it. Less reasonable wear and tear and cleanliness for a function of your size. If you hire the kitchen please leave time to clean as we need to use it the next day at 7am.

  3. You are welcome to decorate the bar and function room, provided the decorations leave no lasting damage to the room. Use ‘BluTac’ or cellotape only on gloss paint or glass – do not use on emulsion paint walls.

  4. Decorations or other dressings, inside and outside, will be taken down by you at the end of your function. Any items which remain will be removed by us at your expense.

  5. You are aware we operate a Challenge 25 policy for the purchase of alcohol and will inform your guests to bring ID if they wish to be served.

  6. You are not permitted to take glasses outside of the club rooms on to the balcony. Your drinks can be transferred to plastic glasses. The reason for this is the rowers often wear no shoes (as shoes are fitted in the boats) and due to the fact that there is a public right of way directly beneath the balcony.

  7. The disabled lift is designed for one person and a carer, not for a group of people or stores and disco equipment, you are to request use from the bar staff.

  8. The club has a no smoking policy, this includes the balcony.

  9. If you wish to bring your own drinks then there will be a corkage charged agree with you in advance.

  10. We will return your security deposit to you within a week of your function assuming no damage has been caused to the Club. Examples of damage include but are not limited to:
    a. Grease residue on emulsion walls caused by BluTac or cellotape
    b. Excessive broken glass or rubbish in the bar or on or under the balcony terrace
    c. Damage to floors (e.g. ingrained food) which require professional cleaning to remedy
    d. Vomit, flooding and spillages which require us to clean the clubhouse outside of our usual cleaning schedule
    e. Any damage which presents a safety issue to users of the club following your function (such as broken glass in the changing rooms or toilets, on the public thorough way below the balcony)

  11. Irrespective of the value of your deposit, it does not limit your liability to pay us in cases where the damage caused will cost us more to make right than the value of your deposit.
